What will your office look like after lockdown?

With the majority of office-based employees working from home during lockdown, many businesses have been thinking carefully about what to do when restrictions are eased or lifted. Should they return to business as usual, or is it time to press the reset button?

Some businesses may look at their productivity and employee satisfaction statistics, and weigh these against the costs of maintaining a large office. Perhaps it’s time to downsize to a smaller space and make use of shared facilities? Those that wish to encourage employees to work on site could be looking at ways to make the office space more appealing. Either way, the current situation presents an opportunity for businesses to upgrade their offices and revisit the way their teams work.

Making efficient use of shared facilities

If you’re looking to downsize your office and move towards hot-desking and flexible working, your staff will need secure storage for devices, laptops and personal belongings. Upgrading lockers with keyless locks provides convenient access to valuables, avoids the frustration of misplaced keys, and eliminates the administration of managing the allocation, supply and replacement of keys.

For anyone looking to upgrade their lockers, the KL1000 NetCode® is a great solution. It uses a four-digit code rather than a key and, when operated in Private Function mode, can only be opened with a fixed, designated code. By using the online Codelocks Connect Portal or Codelocks Application Programming Interface (API), you can create codes and allocate them to users. This makes it easier for office managers to oversee large quantities of lockers – even if they themselves are working remotely.

Flexible access for flexible working

It’s also worth considering the extra security issues posed by having a flexible workforce. With staff working at different times and in shifts, you may need to keep track of who is on site and when. Staff may also require different levels of access – for example to meeting rooms, stock cupboards or secure database servers. Upgrading to Smart Locks not only simplifies access control, but offers the flexibility and convenience of providing a range of entry methods such as a push button, code or smart card. It allows building managers to give employees appropriate access permission by generating one-time, disposable entry codes. Access can be tracked via an audit trail, giving managers instant access to detailed logs.

Creating an appealing workspace

Working from home has highlighted for many that the workplace doesn’t need to be so corporate and employees no longer want to be tied to a fixed workstation.

Instead, with an activity based workplace (ABW), the broader workspace, including the furniture within it, can provides a more practical setting for teams to learn, focus and collaborate. As employers seek to bring staff back into the office, they are looking to provide comfortable and productive workspaces. However, this new style of office will bring new challenges for access control. With more open areas, it is harder for businesses to keep track of who is in the office at any one time.

The solution we provided for Porsche Centre, Preston, illustrates how our smart access solutions can provide flexible access and different levels of security when required.

Due to its showrooms and workshops containing high value cars and equipment, Porsche Centre needed to restrict and permit access to certain areas in line with its business hours and needs. We recommended our CL5500 smart locks, as the sophisticated NetCode technology enables staff to quickly generate and send codes for easy access. The locks’ audit trail data can also be downloaded and viewed – allowing the Centre Principle to keep track of who enters which lock-controlled room, and at what time.

Another way that employers may seek to make work premises more appealing is to include on-site gyms, cycle sheds, shower facilities and changing rooms. Here again, our KitLock range can deliver a better user experience while making life easier for business owners and facilities managers by removing the need to allocate keys. The KL1000 NetCode, for example, can be operated in Public Function as well as Private Function. Public Function allows the user to secure the locker by entering their own chosen code. When it’s time to leave, the user simply enters the same code again and the locker opens. The code is then automatically erased, leaving the locker free for the next person.

Upgrade to keyless access

Whether you’re looking to downsize to a smaller space or make the office environment more attractive for your staff, coded locks can be a part of the solution, providing convenient and flexile access control to suit your new modern way of working.
